The Role
This is a marketing-first role for someone with deep, hands-on marketing experience. You won't just be maintaining what exists—you'll be building campaigns from the ground up, keeping them running correctly, measuring what's working, and telling us what to change based on the data. You'll own the numbers and the story behind them.
We're looking for a true go-getter: someone who spots an opportunity or a problem before we do, brings a recommendation instead of a question, and drives marketing forward every single week. You'll report directly to the CEO and work closely with our external marketing team, calling teams, and vendors to keep everything aligned and moving.
Beyond marketing, you'll be the CEO's go-to person. When he needs something handled—a task, a follow-up, research, a problem solved—you're the one who takes it and sees it through. You'll also keep our office operations running smoothly: client communications, the CRM, vendors, and admin support as we grow.
Marketing Responsibilities (Primary Focus)
- Build campaigns — Design, build, and launch campaigns end to end—email, direct mail, digital, and outbound
- Run them right — Monitor active campaigns daily, verify they're executing correctly, and troubleshoot issues before they become problems
- Own the KPIs — Define the KPIs that matter, gather performance data, and deliver clear, regular reports to the CEO on what's working and what isn't
- Email marketing — Build and manage email marketing campaigns, including list segmentation, sequences, and testing
- Manage calling teams — Coordinate and manage calling teams and outbound efforts, keeping them on message and on target
- Drive improvement — Recommend changes and new campaign ideas based on what you're seeing in the data—then implement them
- Coordinate partners — Manage and coordinate with our external marketing team and vendors to keep projects and campaigns on track
- Stay sharp — Stay on top of marketing trends and best practices, and bring proactive recommendations as a true marketing expert—not just an executor
Executive Support & Office Operations (Secondary)
- Right hand to the CEO — Serve as the go-to person for the CEO—take on tasks and requests of all kinds, prioritize them, and see them through to completion without needing to be chased
- Keep things moving — Track action items, follow-ups, and open loops for the CEO so nothing falls through the cracks
- Get answers — Handle research, comparisons, and legwork so the CEO gets answers and options—not open questions
- Scheduling & communications — Assist with the CEO's scheduling, reminders, and communications as needed
- Client communications — Answer incoming calls and handle client communications with professionalism and warmth
- CRM ownership — Manage and maintain our CRM, keeping contacts and follow-ups current
- Vendor relationships — Reach out to and manage relationships with business vendors
- Office & admin — Support office and admin tasks as needed, and assist with hiring and onboarding as our team grows
What Success Looks Like
- New campaigns launch on schedule, run correctly, and improve over time
- The CEO always has a clear, data-backed picture of marketing performance—KPIs, trends, and next steps
- Recommendations come to the table before they're asked for, backed by what the numbers show
- Email campaigns and calling teams consistently generate engagement and pipeline
- The CEO can hand off any task knowing it will get done—completely, correctly, and without reminders
- Clients and vendors experience a responsive, pleasant point of contact
- The CRM and office operations run smoothly with minimal oversight needed
Qualifications
- 5+ years of hands-on marketing experience, including building and managing campaigns end to end
- Proven experience with email marketing platforms and campaign execution (segmentation, sequences, deliverability, testing)
- Strong analytical skills: comfortable defining KPIs, pulling reports, and turning data into recommendations
- Experience managing or coordinating calling teams, outbound teams, or external agencies
- A self-starter mentality—organized, proactive, and able to manage multiple priorities independently
- Dependable follow-through: when you take a task, it gets done without hand-holding or reminders
- Discretion and trustworthiness—comfortable handling confidential business matters as the CEO's direct support
- Strong written and verbal English communication skills
- Comfortable answering phones and handling client communications
- Experience working with a CRM
- A pleasant, professional personality who can represent our company well to clients and vendors
Bonus Points
- Experience with direct mail or postcard marketing campaigns
- B2B, IT services, or MSP marketing experience
- Experience with marketing automation tools
- Prior experience as an executive assistant, office manager, or right hand to a business owner
- Experience supporting hiring or onboarding processes
